Facilitating Your Settlement Management

Facilitating Your Settlement Management

event management, event organizer, corporate Events, event management companies,

In order to allow you a better management of the payments of your participants, you can request the activation of a new module: the deferred payment. This will allow the management of off-line settlements of your participants.
We also took advantage of the development of this feature to enhance the security of payment documents and data.

Deferred payment and its benefits:

This payment method allows your participants to defer the payment of their order x days / weeks / months after their reservation.
The main advantage for you, the organizers, will be to manage the payments by check, cash or bank transfer of your participants.
The goal is to centralize and optimize all the management of your payments , online and offline, on a single platform.

How does offline payment appear in the platform?

From now on, you can request the activation of the deferred payment option on the platform via a dedicated contact form. This module will allow your participants to be able to pay after booking their access credentials.
Upon activation in the configuration of your ticket office, a text field will appear which you will be able to modify with your own payment instructions. These will be included in the order confirmation email. They will also be indicated on an invoice to be paid which will be sent at the end of the reservation of the participants.
When choosing the method of payment when registering, this option will appear under "Other". Your participants will then be able to choose, at the end of your registration drive, the payment method of their choice:

Addition and registration of delayed order

In addition, you will have a complete management of your offline payments . You will be able to manage all your payments manually directly within the platform:

Indeed, it has been some time since you have the possibility to add commands manually . From now on, you will be able to distinguish the method of immediate and deferred payment .

The addition of immediate order, as its name suggests, allows you to manage during your event, the regulations of your participants at time T. If they wish not to settle instantly, you can now propose the settlement in deferred and allow them to be billed later. If the latter is chosen, a confirmation email with your payment instructions will be automatically sent to the buyer's e-mail address. They can then pay by check, bank transfer or in cash, maximum at the deadline of payment. This will be noted as “pending payment “in your order list on the platform.

In the case of a deferred payment, when your participants have paid their order, you can register it and transfer it to the settled status . You will then see his key information:
  • ·         Order reference
  • ·         Date of the order
  • ·         Amount outstanding

Once this action is done, you can send the order and the invoice paid .
In the case of settlement after the date of the event, you can of course send your orders manually, even if they are pending payment. In fact, the buyer will not receive his access credentials automatically until the order has been officially settled.

More secure regulations:

Once the payment of an order is recorded, the invoice attached to it is not editable, both in terms of its content and the billing address. The Regulation Amendment (even offline) is also impossible.
On the buyers' side, everyone will automatically receive an invoice at the end of the booking process, whether they have chosen deferred or immediate payment.
This invoice will automatically resume the surname and first name buyer completed during the registration process, but can of course be requested on behalf of a company.
